What this notice covers
Our free workbooks, which you request on this website (workbooks.neptunemarketing.co.uk), and any emails we send you as a result.
What we collect
- Your first name and email address.
- Which workbook you asked for, and whether you ticked the box to get our tips and offers by email.
- When you signed up and when you confirmed your email address.
- The IP address and browser you signed up from. We keep these as a record of the request and to stop the form being misused.
- Which files you downloaded and when, and a record of the emails we sent you.
Why we use it, and our lawful basis
- To send the workbook you asked for. This covers the confirm email, the email with your download link and the download page. Lawful basis: legitimate interests, which here means answering your request.
- To send you our tips and offers by email, only if you ticked the box. Lawful basis: your consent. The box is optional and you get the workbook either way. You can withdraw consent at any time with the unsubscribe link in any email, or by emailing us.
- To keep a record of the request and of any consent you gave. This lets us show we only email people who asked us to, and helps us stop misuse of the form. Lawful basis: legitimate interests.
- To count sign-ups. We look at totals, such as how many people asked for each workbook. Lawful basis: legitimate interests.
We do not sell your details, and we do not share them with anyone else for their own marketing.
Who handles it for us
- Cloudflare hosts this website, the database that holds the sign-ups and the workbook files.
- Resend sends our emails.
- An assistant who works for Neptune Marketing, under our instructions.
Cloudflare and Resend act on our instructions only. They may process data outside the UK, including in the United States. Where they do, it is under the safeguards UK data protection law requires, such as the UK International Data Transfer Addendum or the UK Extension to the EU-US Data Privacy Framework.
How long we keep it
- If you never confirm your email address, your details are deleted within 14 days.
- If you confirmed but did not tick the box, your details are deleted 12 months after your most recent workbook request.
- If you ticked the box, we keep your details while you are happy to hear from us. If you unsubscribe, we send nothing more, and your details are deleted 12 months after your most recent workbook request.
- Records of the emails we sent are deleted after about 13 months.
